1. Booking Process

Bookings may be made through the methods we make available from time to time. A booking is only considered confirmed once we have accepted it and sent a confirmation, whether by email, message, or another written form. Any request submitted by you is an invitation to treat and does not create an obligation on our part until we have formally accepted it.

When making a booking with Crystalpalace Cleaner, you must provide accurate and complete information, including the type of property, the service required, the approximate size or condition of the area, access details, any relevant hazards, and any special instructions. We rely on this information when scheduling time, pricing the work, selecting equipment, and allocating staff. If the information you provide is incomplete or inaccurate, we may revise the price, adjust the scope of work, or decline to proceed if the service cannot be delivered safely or effectively.

We may ask questions before confirming a service to ensure the requested cleaning is suitable. Some jobs may require an assessment, photos, additional details, or a site visit before a final quotation can be issued. Any quotation is based on the circumstances disclosed at the time and may change if the property condition, access, or service requirements differ materially from what was described.

2. Service Scope and Customer Responsibilities

Our services are limited to the tasks specifically agreed at the time of booking. Unless expressly included, we do not provide repairs, restoration work, hazardous material removal, pest control, or any specialist service requiring separate certification or equipment. The service scope may include standard internal cleaning, surface cleaning, vacuuming, dusting, mopping, sanitising, or similar tasks, depending on the package selected.

You are responsible for ensuring that the property is reasonably accessible at the agreed time and that we can carry out the service safely. This includes making sure there is safe entry, suitable lighting, and access to water and electricity where required. You must also remove or secure valuables, sensitive documents, fragile items, and any items you do not want to be handled. We may refuse to move items that are heavy, unsafe, or likely to be damaged by relocation.

You must inform us in advance of any conditions that may affect the service, including but not limited to allergies, pets, infestations, structural issues, mould, contamination, broken glass, or items requiring delicate handling. If we discover conditions that were not disclosed and that present a health, safety, or operational risk, we may suspend or stop the cleaning service immediately. In that event, you may still be charged for work already completed and for reasonable attendance costs.

3. Payments and Charges

Fees for Crystalpalace Cleaner services will be set out in the quotation, booking confirmation, or price list applicable to your service. Unless otherwise stated, all prices are exclusive of any additional charges that arise due to changes in the scope, extra time, special materials, parking, congestion, access issues, or disposal requirements. Any such additional charge will be communicated where reasonably possible before it is incurred.

Payment terms will be specified at the time of booking. In most cases, payment is due either in advance, on completion, or within the period stated on the invoice. We may require a deposit or full prepayment for certain services, including urgent bookings, large jobs, specialist cleaning, or repeat cancellations. Where payment is due on completion, it must be made promptly and in full unless otherwise agreed in writing.

We accept payment by the methods we specify from time to time. You are responsible for ensuring that all payment details are valid and that sufficient funds are available. If any payment is declined, reversed, or not received by the due date, we may charge reasonable recovery costs, suspend future services, and/or withhold delivery of further appointments until all outstanding amounts are settled. Late payment may also result in administrative fees where permitted by law and set out in the invoice or booking terms.

4. Cancellations, Rescheduling, and Non-Attendance

You may cancel or reschedule a booking by giving us notice within the period stated in your booking confirmation. If no period is stated, you should provide reasonable notice. We reserve the right to charge a cancellation fee where we have reserved staff, travel time, equipment, or other resources specifically for your appointment. The amount of any fee will usually reflect the notice given and the preparatory work already undertaken.

If you cancel at short notice, fail to provide access, or are not present when attendance is required, we may treat this as a late cancellation or failed appointment. In such cases, Crystalpalace Cleaner may charge the full or partial service fee, including reasonable costs of attendance, where those costs have been incurred. If we arrive and are unable to complete the service for reasons outside our control, this is not a failure by us to perform the service.

We may also reschedule or cancel a booking if staff become unavailable, weather conditions make attendance unsafe, access is impossible, or the work would breach health and safety requirements. If we cancel for reasons within our control, we will either offer a new appointment or refund any prepaid amount for the cancelled element, unless we agree another fair solution with you. Where circumstances beyond our reasonable control affect attendance, our obligations may be suspended to the extent of the disruption.

5. Liability and Limitations

We will provide our services with reasonable care and skill. If we fail to do so, we may, at our option, re-perform the affected service, reduce the charge, or refund the relevant amount, depending on the circumstances. Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot lawfully be excluded under UK law.

We are not responsible for pre-existing damage, wear and tear, hidden defects, structural issues, or deterioration that becomes apparent during or after cleaning. This includes, without limitation, items that are already loose, cracked, damaged, corroded, poorly fixed, or unstable. You acknowledge that some cleaning methods may reveal existing marks, stains, or damage that were previously concealed by dirt or grime. We are not liable for any such pre-existing conditions being disclosed during the service.

If you ask us to proceed contrary to our recommendations, or if you approve the use of a particular method, we will not be responsible for damage arising from that instruction unless caused by our negligence.

We do not exclude liability where doing so would be unlawful, but otherwise our total liability to you in connection with any booking will be limited to the amount paid or payable for the specific service giving rise to the claim. We will not be liable for indirect losses, loss of profit, loss of business, loss of opportunity, or consequential loss, except where such limitation is prohibited by applicable law. Nothing in these terms affects your statutory rights as a consumer.

6. Waste Regulations and Disposal

Crystalpalace Cleaner will handle waste in a lawful and responsible manner and will comply with applicable UK waste regulations. Unless otherwise agreed, our services do not include the removal of large volumes of waste, construction debris, clinical waste, asbestos, chemicals, sharps, biohazards, or other regulated materials. If such items are present, you must disclose this before booking so that we can assess whether the work can be safely completed.

Any waste created as part of the cleaning service, such as general rubbish, packaging, or disposable cleaning materials, may be bagged and placed in an agreed location for collection or disposal according to the instructions provided. We are entitled to refuse to handle waste that is illegal, unsafe, contaminated, or likely to require special licensing or protective measures. If we do agree to remove waste, any associated charge, permit requirement, or additional disposal cost may be added to the invoice.

You remain responsible for the lawful classification and disposal of waste that originates from your property unless we have expressly agreed in writing to manage that disposal as part of the service. You must not ask us to transport prohibited materials or to dispose of anything in a manner that would breach environmental or waste-handling laws. If we believe a request would breach these requirements, we may decline the task without liability.

7. Access, Safety, and Insurance Expectations

You must ensure that the property is safe for our staff to enter and work in. This means warning us about any hazards, securing dangerous animals, reporting any active leaks or electrical issues, and preventing exposure to unsafe conditions where possible. We may suspend the service if we consider the environment unsafe, and any resulting delay or unfinished work may still be chargeable if the issue was not disclosed in advance.

While we take reasonable care to protect your property, you should understand that cleaning involves ordinary risks associated with movement, liquids, equipment, and cleaning products. You are responsible for ensuring that any fragile, antique, valuable, or sentimental items are protected, removed, or clearly identified before work begins. We may decline to clean certain items where the risk of damage is disproportionate or where the item cannot be safely cleaned without specialist treatment.

We may maintain insurance appropriate to our business activities, but this does not mean every loss is covered. You should arrange your own insurance for valuable items, contents, and property risks where appropriate. Our insurance, if any, does not create any additional obligation beyond these terms and the law applicable to the service contract.

8. Complaints and Service Issues

If you believe there is an issue with the service, you should notify us within a reasonable time after completion so that we may investigate. We may ask for photographs, a description of the issue, or access to the property to review the concern. If we find that the service did not meet the agreed standard due to our error, we may offer a re-clean, partial refund, or other proportionate remedy.

We will not usually be responsible for complaints raised long after the service was completed, especially where the condition of the property may have changed or where the issue could have been identified earlier. Nothing in this section limits your rights under consumer law, but it does help us resolve issues fairly and efficiently. If a complaint concerns damage, you should retain the affected item or area in its post-service condition where possible to allow assessment.

Any discussion of remedy is without prejudice to our legal rights and does not amount to an admission of liability unless confirmed in writing. We may request reasonable cooperation from you when investigating any concern, including access to relevant areas, evidence of the issue, and details of any prior condition that may have contributed to the problem.

9. Governing Law

Any variation must be agreed in writing. By confirming a booking, you acknowledge that you have read, understood, and agreed to these conditions and that the information provided to us is accurate to the best of your knowledge.

10. Final Provisions

You may not transfer your rights or obligations under these terms without our written consent. Nothing in these Terms and Conditions creates a partnership, joint venture, or employment relationship between you and us. Each booking is a separate contract for services unless otherwise agreed. Any headings used in this document are for convenience only and do not affect interpretation.
